A customer tells you they can't see your business name on WhatsApp. Or they see a bare phone number, a grey circle where your logo should be, or a profile with no address or hours. You open your own profile and everything looks fine.
That is the confusing part. Your own view can't tell you what a stranger sees. What a customer sees depends on which app your number runs on, whether they saved your number, your privacy settings, and what you actually filled in. Most of these take a minute to check once you know which one you have.
Get a screenshot if you can. Each symptom points to a different fix, so you don't have to work through all of them.
- They see a phone number instead of your name: they probably haven't saved your number. See cause two.
- There is no sign of a business profile at all, for anyone: your number may still be on regular WhatsApp. See cause one.
- Your photo or about is missing, but the rest is there: check your privacy settings. See cause three.
- The profile opens, but the address, hours or website are missing: those fields may be empty. See cause four.
- One newer profile feature is missing: it may not have reached you yet. See cause five.
Cause 1: Your number is still on regular WhatsApp
WhatsApp Messenger and the WhatsApp Business app are two different apps, and the business profile comes with the Business app. WhatsApp's help says one phone number can't be linked to both at the same time. So if you have been answering customers from regular WhatsApp, they are looking at a personal account, and there is no business profile for them to find.
Your customers don't need to change anything. WhatsApp's help says a Business account is visible to 'any user' who has your number saved, and it doesn't ask them to install the Business app. The move happens on your side. Before you start, know that WhatsApp says your chat history can't be moved back to WhatsApp Messenger if you later stop using the Business app.
- Back up your chats first. WhatsApp recommends a local or Google Drive backup.
- Install WhatsApp Business. It detects the number you use in WhatsApp Messenger.
- Confirm the number, allow access to your chat history and media, and enter the SMS code.
- Keep the app open and your phone turned on until the transfer finishes.
- Set up your business profile once the account is active.
Cause 2: The customer hasn't saved your number
WhatsApp's help says a chat with an unsaved number is represented by a number rather than a name in the Chat List. Its business profile help also describes visibility in terms of saved numbers: your Business account is visible to any user who has your number saved in their address book.
So a customer with a number in their chat list is often seeing normal behaviour, not a fault. If they saved you under a nickname, they may see that too, so ask what name they used.
- Ask them to save your number in their phone's address book. WhatsApp says international numbers need the full international format.
- They can also save you from inside the chat, using the option to create a new contact in Chat Info.
- If they saved you and still can't find you, the phone may not be sharing contacts with WhatsApp. WhatsApp's 'Contact names missing' help says to check that the contacts permission is set to Full Access, or that a Limited Access selection includes the contact, in the phone's settings.
- If they are checking on a linked computer, have them look on their phone. WhatsApp says new contacts from the address book can only be found on the primary device.
- If you are saved and the details still don't load, have them close and reopen WhatsApp. WhatsApp lists a temporary connection issue as one possible cause.
Cause 3: Privacy settings are hiding your photo or about
The easy mistake here is misreading 'My contacts'. It doesn't mean people who have saved you. WhatsApp defines it as contacts from your address book, meaning your own. Set your profile photo to 'My contacts' and a new customer you have never saved won't see your logo, even if they have saved you. That is rarely what a business wants.
WhatsApp's privacy help is written for the standard app, and its business pages don't describe these controls separately. If your Business app offers the same settings, check them there. The default for the profile photo is that any user can see it, so if yours is hidden, the setting was probably changed at some point.
- Android: tap 'More options', then 'Settings', 'Privacy' and 'Profile photo'.
- iPhone: tap 'Settings' or your profile picture, then 'Privacy' and 'Profile Photo'.
- Choose 'Everyone' so anyone can see it. The other options are 'My contacts', 'My contacts except...' and 'Nobody'.
- Go back to 'Privacy' and do the same for 'About'.
- Check blocks too. WhatsApp says a contact you block won't see updates to your profile photo or about, though its business help adds that blocked users can still view your business profile and catalog. It also lists being blocked as a reason someone's details may not be visible, so the customer's own block list is worth a look.
Cause 4: The profile fields are empty
Setup asks for basic details such as your business name and category, so it is easy to finish with a nearly blank profile. WhatsApp says customers can see your business name, description, address, business hours and category, plus the month and year you joined the app. A field you skipped has nothing to show, which can look like a display fault to a customer.
WhatsApp's own advice is to complete every field, because customers see your profile before they ever message you. On iPhone, WhatsApp's setup help reaches the profile through 'Settings' and then your business name. Menu wording can differ on Android, so look for your business name in the app's settings.
- Photo: use your logo or a clean, well-lit photo of your shop or product. WhatsApp notes this is what people see in their chat list.
- Description: keep it short and specific, covering what you sell and who you serve.
- Category: pick up to three. You can't create a custom one.
- Address: type it, choose from the suggestions, then confirm the location.
- Hours: choose selected hours, always open, or by appointment.
- Email and website: add both if you want customers to reach you outside the chat.
- On a computer, select the pencil icon on a field, make the change and confirm with the checkmark. Your business name, phone number, services and linked accounts can only be edited in the WhatsApp Business app on a mobile device.
Cause 5: An old app, or a feature that hasn't reached you
WhatsApp's help doesn't list an old app version as a reason a profile won't show, so don't expect this to be the fix. It is still worth a minute, because it rules something out. WhatsApp also says it is building and testing updates to business profiles that may not be available to you yet. Some features vary by region too, such as showing recent posts from a linked Facebook Page or Instagram Business profile. If one newer item is missing and everything else works, this is the likely reason, and no setting will force it on.
- Android: find WhatsApp Messenger or WhatsApp Business in the Google Play Store and tap 'Update'.
- iPhone: check for the update in the App Store.
- Ask the customer to update too, since the problem may be on their phone rather than yours.
- To check automatic updates, go to WhatsApp 'Settings', then 'App updates'.
If your number runs on the WhatsApp Business Platform
If a developer or provider connected your number through the API, the steps above for the Business app don't apply. In WhatsApp Manager, go to 'Account tools', then 'Phone numbers', select the number and open the 'Profile' tab. The fields can also be updated through the API.
Two of Meta's notes are worth knowing. The display name appears in the number's WhatsApp profile, but it shows at the top of chats and in the chat list only 'if certain conditions are met', and Meta doesn't list those conditions. And a number without Official Business Account status won't appear when people search for it within WhatsApp, unless they have added it to their contacts. A display name that was declined is a separate problem from the ones covered here.
Prevent it next time
Most of this can be caught before a customer ever complains.
- Test from a second phone whose WhatsApp doesn't have your number saved, then again after saving it. That shows you both versions of what customers see.
- Fill in every profile field the day you set up the account, and recheck them when your hours or address change.
- Ask new customers to save your number, and put it in full international format wherever you publish it.
- Keep the profile photo and about on 'Everyone' if you want strangers to recognise you.
Give customers one place to find you
Your WhatsApp profile will always depend partly on what's on the customer's phone, so it helps to have your details somewhere else as well. A free OneSol page gives customers a link to reach you on WhatsApp and elsewhere, and it can collect emails from people you'd like to stay in touch with.
