You set up your WhatsApp Business account, typed in your business name, and a customer replies with a screenshot that shows only your phone number. Or you moved to the Cloud API and the display name you submitted came back rejected.
The quick answer is that these are two different problems. A phone number in a customer's chat is often normal behaviour: WhatsApp follows a fixed display order, and for an unsaved, unverified business that can end at the number. A rejected name is a review decision on the WhatsApp Business Platform, and it comes with a stated reason you can act on. Start by working out which one you have.
The WhatsApp Business app and the Cloud API handle names differently. If you run WhatsApp from the app on your phone, you edit the name yourself. If your number is connected through the Cloud API, usually by a developer or a messaging provider, the name goes through display name verification and you manage it in WhatsApp Manager.
- Customers see your number, but your name appears when they open your profile: this is the display order. See cause one.
- You changed your name and the old one still appears: see cause two for the app, cause three for the Cloud API.
- The webhook or a Meta Business Suite notification says 'REJECTED', or name_status says 'DECLINED': see cause four.
- The status says 'PENDING_REVIEW' or the decision says 'PENDING': nothing is wrong yet. The name is still under review.
Cause 1: The customer has not saved you, and your name is not verified
Meta's developer documentation gives the order WhatsApp follows when it displays a business, from highest priority to lowest: the customer's saved contact name, then a verified or Official Business Account name, then a username, and finally the phone number. WhatsApp's help center describes the same thing from the customer's side. On a regular Business account, people see the name they saved for you, and if your number is not in their address book, they see only the phone number you registered with. It says the business name shows in the chat list and thread for customers who have not saved you only on an Official Business Account.
Your business name has not vanished in this case. WhatsApp says customers can see your business name, description, address, hours and category on your business profile. It is just not what the top of an unsaved chat shows.
- Ask customers to save your number. Their saved name sits at the top of the order, so this works on any account type.
- On the Cloud API, get the display name approved. Meta says that with approval the name can also appear at the top of individual chat threads and in the chat list.
- If you use the Cloud API and want the checkmark, you can request Official Business Account status. Meta's requirements are a verified business portfolio, at least 30 days on the platform, two-step verification on the number, an approved display name and compliance with the WhatsApp Business Messaging Policy. The request is under Phone numbers > Profile > Official business account, using 'Submit Request'. If it is rejected, you can try again after 30 days.
- A username will not hide your number. Meta says adopting a business username does not hide the business phone number, and WhatsApp says usernames are rolling out gradually, so yours might not be available yet.
Cause 2: You changed the name in the Business app, or tried to on the web
WhatsApp's help page is direct about this: your business name, phone number, services and linked accounts can only be edited using the WhatsApp Business app on a mobile device. If you are working in WhatsApp Web, the name field won't let you change it, and that is expected. On your phone, tap 'Settings', then your business name. Exact labels can differ between app versions.
Two more things can get in the way. If you have an active Meta Verified subscription, WhatsApp says updating your profile name and picture requires review and approval, so a new name won't appear straight away. And if your account is an Official Business Account, WhatsApp's help center warns that changing the business name may cost you that status, so check before you edit.
We could not find a documented 'request a review' step for a name in the Business app, so we won't guess at one. If WhatsApp refuses a name there, change it to the name your business actually trades under.
Cause 3: On the Cloud API, the name is pending, or approved but never applied
You must give a display name when you register a business phone number, and it appears in that number's WhatsApp profile. Verification against the display name guidelines starts automatically when you reach a higher messaging limit. When it finishes, Meta sends a phone_number_name_update webhook and a Meta Business Suite notification.
To see where you stand, open WhatsApp Manager > Account tools > Phone numbers and check the 'Name' column, or request the verified_name and name_status fields through the API. Don't rely on verified_name alone. Meta says that value doesn't indicate whether the display name is approved. Meta also notes name_status is in beta and not available to all developers, so the webhook and WhatsApp Manager may be your only sources.
- 'APPROVED': the name has been approved.
- 'AVAILABLE_WITHOUT_REVIEW': the display name is ready to use without review.
- 'PENDING_REVIEW': your name request is under review.
- 'DECLINED': the name has not been approved. See cause four.
- 'EXPIRED': the number's certificate has expired and can't be used to register the number for API use.
- 'NONE': the number has no certificate and can't be used to register for API use.
The step people miss: re-registering after approval
An approved change does not go live by itself. After approval, you must call POST /PHONE_NUMBER_ID/register with messaging_product set to 'whatsapp' and your 6-digit pin, which applies the new name on WhatsApp's servers. You don't need to repeat Embedded Signup.
The timing matters. You have 14 days after approval to re-register. If that window passes, you have to submit the name for review again. Re-registering before approval has no effect, so wait for the approval first. The register call is limited to 10 requests per number in a 72-hour moving window, and going over returns error code 133016, so don't retry it in a loop.
If it still looks wrong after all that, check on a phone that has not saved your number. Meta notes that if a WhatsApp user edits your profile name in their own client, the name they set appears instead.
Cause 4: The display name was rejected
The webhook's decision field says 'REJECTED', and name_status says 'DECLINED'. The webhook also has a rejection_reason field, which is the most useful thing to read, because it names the problem. Here is what each value means and what to do about it.
- NAME_INDIVIDUAL_ISSUE or NAME_EMPLOYEE_ISSUE: the name included a person's name or employee identifier. Use the business's name, not a staff member's. The documents we checked don't list an exception for people who trade under their own name, so if that is you, explain it in an appeal.
- NAME_ENDCLIENT_NOTRELATED: the name included an unrelated business's name. Agencies and resellers registering a number for someone else should check this one first. Remove the other name unless the number genuinely represents that business. WhatsApp's Business Policy says you may not take on someone else's name or brand without permission.
- NAME_FORMAT_UNACCEPTABLE: the name used an unacceptable format. Read the format rules in Meta's Help Center article 'Display name guidelines for the WhatsApp Business Platform', which is the page Meta points to, then rewrite the name.
- NAME_NOT_CONSISTENT: the name was not consistent with the business's branding. Use the name customers already know you by, the one on your website and other public profiles.
- UNKNOWN: rejected for an unknown reason. Meta's instruction is to contact support.
How to change the name or request a review on the Cloud API
Meta gives two routes after a rejection: review the guidelines and edit your display name accordingly, or file an appeal through Developer Support or Enterprise Developer Support. If the reason is clear and you can fix it, edit. If you believe the decision is wrong, appeal. To edit in WhatsApp Manager:
- Go to WhatsApp Manager > Account tools > Phone numbers and select the number.
- Open the 'Profile' tab.
- In the 'Display name' section, click 'Edit' and complete the flow.
- Wait for approval. You can also submit the change by API with a POST containing new_display_name, then request new_display_name and new_name_status to follow its progress.
- Once it is approved, re-register the number within 14 days.
- If the number has Official Business Account status, you can't use this route. Meta says to contact direct support to change the name.
Prevent it next time
Two habits avoid most of this: choose the name carefully before you submit it, and remember that approval is not the last step.
- Pick the name customers already use for you, and read the display name guidelines before you submit it, not after a rejection.
- You can change a display name 10 times per 30-day period, so don't spend attempts on small variations.
- Set a reminder for the 14-day re-registration window as soon as a name is approved.
- Keep your profile accurate. WhatsApp's Business Policy asks you to keep all information accurate and up to date, and not to impersonate another business or mislead customers about the nature of yours.
- Tell new customers to save your number in your first message. Meta also notes that a number without Official Business Account status won't appear when people search for it in WhatsApp, but once they save it as a contact, your display name appears in their search results.
Give customers one place that shows your name
While customers may still see a number in the chat, a free OneSol page shows your business name and a link to your WhatsApp chat in one place, so customers can recognise you.
