You open Shop Manager expecting a deposit and find most of the money sitting in 'Pending'. Some orders carry an 'Order in reserve' badge. There may be an email from Etsy saying a Payment account reserve has been placed on your shop. It feels like your money has been frozen.
It hasn't been taken, and in most cases you will get all of it. A reserve means Etsy holds a percentage of each new physical-item sale for a set number of days, on a rolling basis, before it becomes available for deposit. Etsy describes it as a buffer against chargebacks, unexpected refunds and other charges. The useful question is not how to argue it away, because support can't remove it, but how to get each held amount released as early as possible.
First, check whether it is really a reserve
Etsy's help on late deposits lists several separate reasons money doesn't arrive, and only one of them is a reserve. Look before you assume.
On Etsy.com, go to Shop Manager, open 'Finances' and choose 'Payment account'. If you have a reserve, there is a 'Payment account reserve' section showing the holding time and the percentage being held. Etsy says you will only see that section if a reserve exists. In the Etsy Seller app, go to 'More', then under 'Finances' select 'Payment account'. You can also go to 'Orders' and look for the 'Order in reserve' badge next to individual orders.
- You see a reserve section or 'Order in reserve' badges: read the next three sections.
- No reserve section, and the money shows as 'Ready for deposit': it is waiting for your deposit schedule. See the deposit schedule section.
- Your current balance is negative: fees, refunds or labels are larger than your sales, so there is nothing to deposit.
- A banner on your Shop Manager Dashboard asks you to confirm your seller info: Etsy may hold deposits until you do.
Why Etsy placed the reserve
Etsy's help is direct that support cannot tell you the specific reason for your shop. What it does publish is the kind of risk factor that leads to one, 'such as, but not limited to':
- You've made your first sale on Etsy, or recently started selling and haven't built a track record yet.
- A sudden sharp increase in orders or sales. A product that suddenly takes off is a common trigger, even when nothing is wrong.
- A sudden sharp increase in refunds, or a recent increase in refunds.
- Orders are consistently missing tracking information or tracking events.
- Orders aren't shipped on time.
- You recently received a notice of counterfeit, a notice of unauthorized reproduction, or a report of alleged intellectual property infringement from a rights owner.
How long the reserve lasts
There are two clocks, and it helps to keep them apart.
The first is the reserve on your shop as a whole. Etsy says that for most sellers it will be removed within 90 days. During that time Etsy monitors the shop, and if there are concerns with order fulfillment or policy violations, the reserve may be extended. Etsy also says it regularly evaluates shops with a reserve and may adjust or remove it earlier based on activity and account standing, and that it will notify you if your reserve status changes.
The second is the hold on each individual sale. The holding time and percentage are shown in your Payment account and, in Etsy's words, can vary based on your account. To see the exact date a particular sale's held funds will lift, check your Recent activities, or download your monthly statement: in Shop Manager go to 'Finances', then 'Monthly statements', choose the month and select 'Generate CSV'. The 'Status' column shows whether a sale is in the reserve and the 'Availability Date' column gives the estimated date the reserved portion becomes available to deposit.
How to get your money released sooner
This is the part you actually control. Etsy says reserved funds are released when the seller adds tracking and Etsy can verify the order is in transit. Without tracking, the money waits out the full default holding period.
- Add valid tracking to every physical order as soon as it ships. Etsy says the reserved funds are released immediately once it can confirm the order has shipped.
- Use a carrier Etsy can read. Etsy notes it isn't always able to confirm tracking for some carriers, and if it can't tell the order is in transit, the funds are held for the full period. Sellers in the US, Canada, Australia and the UK can buy shipping labels directly on Etsy that may include tracking.
- Don't mark items as shipped before you drop them off with the carrier. A tracking number with no scan doesn't show the order in transit.
- Expect released funds at 6pm ET. Etsy says funds become available at 6pm ET on the day they are released from the reserve.
- Know that digital items are not affected. Sales of digital items are not held in reserve.
What still comes out of your balance during a reserve
A reserve doesn't pause your costs. Etsy says buyer refunds, fees, shipping labels purchased on Etsy and Etsy Ads keep coming out of your current balance as normal, while the reserved money sits in your pending balance.
If your current balance goes negative, Etsy applies reserved funds as they are released, and anything left over becomes available for deposit. A negative current balance doesn't automatically mean your card is charged. Etsy says your card on file is charged only if your current and pending balances together still aren't enough to cover refunds and other charges. If you are running ads while in reserve, keep an eye on this.
Other reasons your Etsy deposit is late
If there is no reserve, work through the rest of Etsy's list.
- New seller timing. Etsy says new sellers' funds are generally eligible for deposit 14 days after a sale, possibly longer depending on the shop's standing, while established shops may see funds available the next business day.
- Your deposit schedule. New sellers are paid weekly, every Monday, by default. To change it, go to Shop Manager, 'Finances', 'Payments Settings', and under 'Deposit schedule' choose daily, weekly, biweekly or monthly. If your next deposit date hasn't come, you can wait or select 'Start a transfer' under the amount 'Ready for deposit'.
- Daily minimums. The daily schedule only sends money once a minimum is met, which Etsy lists as USD 25.00 for US dollar accounts, with other amounts per currency.
- A new bank account. After you update your bank details, Etsy places a 5-day hold that starts once the new account is verified.
- No valid card or bank account on file. Etsy requires both to pay you out, unless you are in a country that must use a Payoneer Payment Account. Sellers on Payoneer only receive deposits each Monday.
- Seller info not confirmed. Look for the banner on your Shop Manager Dashboard.
- The deposit was sent but isn't in your bank. Etsy says standard deposits can take 1-5 business days to appear, and a deposit day that falls on a weekend or holiday moves to the next business day. After that, Etsy says to contact your bank.
How to avoid a reserve next time
Etsy's own advice is about showing you can fulfil reliably. Ship on time, and lengthen your processing times if you keep running close. Don't mark orders shipped before they are with the carrier. Reply to customer messages quickly, within 24 hours if you can. Stay current with seller policies and work toward good reviews. Etsy also says that if you are already a Star Seller, a reserve will not be placed on your shop.
If you are about to run a big promotion or expect a seasonal spike, plan for it: a sudden sharp increase in orders is one of the triggers Etsy names, so make sure you can ship those orders quickly with tracking Etsy can read.
If one hold shouldn't stop all your sales
Nothing outside Etsy can release an Etsy reserve, including OneSol. What some sellers do is also sell from their own page: on OneSol you can connect your own Stripe, PayPal, Razorpay or Square account so payments go to your own account, and having a second processor connected means one hold doesn't stop every sale. Selling with your own processor is on the Pro plan.
